Board of Directors Meeting Minutes

June 28, 2007 12:00 p.m.

 

Attending:                Mitch Rehbine & Mary Alice Divine

 

Chamber Admin:     Anna Wicks

 

·         The President, Mitch Rehbine – called the meeting to order at 12:00 p.m. Due to the number of Board Members able to attend; an informal discussion was had regarding a portion of the items on the agenda.

 

·         Membership – Getting Welcome Packets sent out, what should this include?

 

a.      Create a folder with our logo

b.      Welcome Letter from Mitch

c.        Quad Chamber brochure Needs to be revamped review at July Meeting

d.      Current Newsletter

e.      Ad Piece

f.        How to get involved letter

g.      Current member list

 

·         May 2007 meeting minutes – there was not enough members to approve these meeting minutes. A vote will be taken at the July meeting.

 

·         Newsletter To Do List – Due to the timing of the June Newsletter we need a new production schedule. Please note the changes below.

·         Potential New Members – UPDATE!!

Wells Fargo (Karen Wiley) – Check has been received

US Bank (Jason Anderson) – Check has been received

            Coldwell Banker (John Mooney – invoice has been sent

 

·         To Do – A letter need to be drafted to prior members and sent out with an invoice. Question to the Board: Should this be done now or in October during our renewal/membership drive?

 

·         Quad Area Chamber of Commerce Banner – was found at the Bank of the West. It is now being stored at the Community National Bank. In addition, we have a large scissors for ribbon cutting ceremonies.

To do – Create a sign out sheet for the sign so we know who has it at all times. This has been done please make sure to utilize the sign out sheets. They are on a blue clipboard on the file cabinet.

 

·         Blue Heron Days Golf Tournament - the date to hold a golf tournament  during Blue Heron Days do not work out but there is the potential to hold it during another time this summer. Mitch would like to put a golf tournament on the calendar for next year so that we have our choice of dates. To Do – what date are we interested in and at what venue?

 

·         Quad Area Chamber of commerce Budget – this needs to be created for the coming years. A guideline for expenses and goals for new members. Question to the Board: Should this budget be from January 08 through December 08 or October 07 – September 08?

 

·         A motion was made to charge $10 per person per event this insures that all events are fundraisers. In addition, a non- member fee of $15 would be charged.

 

·         Business Expo – A discussion was held regarding the opportunity to hold a business expo during Blue Heron Days. Further discussion is needed. Mary Alice has learned that the Jaycee’s will be hosting a Business Expo during Blue Heron Days. This idea will have to be benched for this year.

 

·         To Do – Anna will research the rental cost of renting a portable “jumpy” for kids. The idea being renting two of these for the afternoon of the parade and raise money by charging admission for kids as they wait for the parade to begin

 

·         Quarterly Event – August 9th, 2007, LaMont Park 5-7 p.m. BBQ and Evening Cruise, RSVP Planning Session at July Meeting
